🏡 Securing Your Room – Rooms To Let North East

Once you’ve found your perfect room, securing it is quick and straightforward. Follow these steps to ensure your booking is confirmed.

1. Pay the Holding Fee

  • A holding fee of 1 week’s rent is required to reserve the room while you complete your application.

  • The holding fee is part of your initial move in money, not an extra amount.

  • You will have 10 days to complete your application and upload your IDs.

  • Please find the T&Cs re: Holding fees

Important:

  • If you change your mind after approval, you will lose the holding fee.

  • If “we” do not proceed with your application, your holding fee is fully refunded.

  • Providing fraudulent information or delaying beyond 10 days may result in forfeiture of the holding fee.

💰 Holding Fees – Important Information

A holding fee is paid to secure your chosen room while you complete the application and referencing process. This fee (once successful)  is deducted from your move in monies due once your tenancy is approved. (please ensure you complete all actions in referencing to avoid delays)

Please note: The holding fee may be lost in the following circumstances:

  • If you change your mind after your application has been approved.

  • If you provide false or fraudulent information during the application process.

  • If you fail to complete your application or provide required documents within 10 days.

  • If you delay the process beyond the agreed timeframe.

If we do not proceed with your application, the holding fee is fully refunded.

Paying the holding fee secures your room, but it is important to act promptly and provide accurate information to avoid losing it.

Without a Holding fee we cant guarantee the room will be secure for you.

2. Complete Your Application

  • Fill out our agency application form with all required details.

  • Indicate your preferred check-in date / tenancy start date.

  • You will be invited to our referencing partner Canopy to complete your reference and sanctions ID check.

A sanctions check ensures all tenants comply with government regulations and eligibility requirements.

Tip: To speed up referencing, upload all required documents and complete every section of the application thoroughly.

3. Move-In Costs

  • Deposit: Typical Deposit is 5 weeks’ rent

  • Room LETS can be ÂŁ300 – please check your advert / information given
  • We also have a deposit alternative- Flat Fair ( cost to you 1 weeks rent +VAT)

  • First month’s rent (1 month) before key collection.

After referencing you will be invited to Flat Fair to set up your deposit choice and make the required deposit payment.

Two deposit options:   a regular cash deposit (held in the secure deposit scheme / or Deposit alternative which gives more affordable move in rate. 

4. Documents You Should Have Ready for referencing 

  • Passport / Visa

  • Bank statement

  • Proof of address

  • Right to Rent share code

  • Employment details / Income details

  • CAS letter (if a student)

  • Guarantor information (if required)

  • Proof of student status / ID

  • Current or previous landlord references

  • Addresses for the last 3 years

Guarantor Requirement:
Depending on your circumstances, you may be asked for a guarantor. You will need to provide their name, contact number, and email in the reference application.

    • Review and sign all contracts electronically

    • Access copies of all agreements and certificates

Payments before move-in:

Once confirmation is sent and you have your tenancy agreement, you will pay the remainder of the deposit ÂŁ-(this will make up the total of your deposit payment due)
